Overview


RenewableUK events are designed to be positive and inclusive, celebrating diversity among attendees, exhibitors, and staff.  


Discriminatory behaviour is not tolerated. By attending, you agree to respect everyone, regardless of gender, race, religion, age, sexual orientation, disability, or other personal attributes. 


This event safeguarding code of conduct guides everyone who participates in or attends RenewableUK conferences, meetings, or other sponsored events, including members, non-members, employees, speakers, sponsors, vendors, and other guests. 


RenewableUK wants to ensure that all attendees understand what behaviour is expected and what behaviour will not be tolerated at a RenewableUK event. The facilities covered by this code of conduct include any venue, hotel, meeting room, or RenewableUK office location where a RenewableUK event takes place, as well as at off-site locations where event-related social gatherings take place.   


Events Code of Conduct

  • Expected conduct

      • Be considerate and respectful to each other. 
      • Refrain from any unacceptable conduct. 
      • If you observe any conduct that violates this Event safeguarding code of conduct, alert a RenewableUK staff member. 
      • Adhere to the rules, policies, and procedures of the facilities hosting any event. 
      • Comply with all applicable laws and regulations in the country where the event is located. 
  • Unacceptable conduct

    RenewableUK prohibits harassment and discrimination based on legally protected characteristics, including ethnicity, religion, sex, age, pregnancy, gender identity/expression, sexual orientation, and disability.  

    Conduct prohibited under this Event Safeguarding Code of Conduct includes, but is not limited to, behaviours determined at RenewableUK's discretion. 

        • Sexist, racist, homophobic or other discriminatory jokes, slurs, insults or comments. 
        • Alcohol or drug abuse or any of the behaviours associated with this. 
        • Unwelcome sexual advances, whether verbal or physical. 
        • Display of sexualised images. 
        • Stalking, whether in person or online. 
        • Threatening or intimidating language or physical conduct. 
        • Inappropriate photography or recording. 
        • Unsolicited physical contact. 
        • Canvassing, leafleting, demonstrations, objectionable behaviour or wear offensive apparel or be involved in any activity which may disrupt the event. 
        • Verbal or written harassment or intimidation of any kind. 
        • Comments that indicate superiority related to gender, gender identity or expression, sexual orientation, disability, physical appearance, body size, race, age or religion.   
        • Sustained disruption of talks. 
        • Advocating for or encouraging any of the above behaviours. 

     

    Anyone engaging in such behaviour may be asked to leave the event and may be refused entry to future events, at the sole discretion of RenewableUK.   

  • How to report an issue

    In-person 

    If you are a victim or witness of abuse, notify any RenewableUK staff member or security immediately. Staff are located at the RenewableUK exhibition stand, organisers office and at the registration desks. Security staff (Stanbridge Security) are positioned at the exhibition entrances.

    Alternatively, you can report an issue to us in confidence by email to events@RenewableUK.com.  
    Please note that due to the nature of email, response may not be immediate.  

    Please note any issues raised with us will be treated in confidence.  

    No retaliation

    RenewableUK will not tolerate reprisals or retaliation against individuals who, in good faith, raise concerns about violations of this Event Safeguarding Code of Conduct, or who participate in the investigation of such concerns. RenewableUK is committed to addressing all allegations of unacceptable conduct seriously and ensuring an event environment free from any such activities. 

Complaints procedure


We are committed to providing a safe, respectful, and inclusive environment for all participants, in line with our Event Safeguarding Code of Conduct. If you experience or witness behaviour that violates this code, we encourage you to report it. All reports will be handled confidentially and sensitively.

Reporting a complaint


How to report



  • In person to the Event Safeguarding Team  

  • Call Head of Events or Health & Safety Executive (Global Offshore Wind & Floating Offshore Wind only)  

  • If it involves a RenewableUK staff member, report to the Event Safeguarding Team, Manager, ELT or directly to HR.  

  • Email us at: events@renewableuk.com   

  • Include: 

    • A clear description of the incident(s) 

    • The name(s) of the individual(s) involved (if known) 

    • Date, time, and location of the incident(s) 

    • Any witnesses (if applicable) 

    • Any supporting evidence (e.g., screenshots, photos) 

    • Please note any immediate response should be dealt with in person or by phone. Emails may not be actioned immediately.  




Confidentiality


All reports are treated as strictly confidential. Information will only be shared with those who need to know to address the complaint.




Initial response



  • Complaints in person or via telephone will be dealt with immediately by the Event Safeguarding Team 

  • Email or WhatsApp will acknowledge receipt of the complaint within 5 working days  

  • You may be contacted for additional information or clarification. 

  • If needed, you will be asked whether you are comfortable with us speaking to the person(s) involved. 




Review and investigation



  • A confidential review will be conducted by the Event Safeguarding Team. 

  • This may involve:

    • Speaking with the complainant (you)

    • Speaking with the person(s) named (if appropriate)

    • Consulting any relevant witnesses or evidence






Resolution and action


Based on the findings, we may take one or more of the following actions: 



  • A verbal or written warning 

  • Removal from the event (temporary or permanent) 

  • Banning from future events 

  • Referral to a third party (e.g., venue security, legal authorities), if necessary 

  • Referral to HR (e.g., if member company, or staff) 


The outcome of the process will be communicated to the complainant, subject to privacy and legal considerations. 




Appeals


If you are not satisfied with how your complaint was handled, you may submit an appeal by replying to the original complaint email. Appeals will be reviewed by an alternative member of the Event Safeguarding Team, appropriate ELT member or an external advisor, if required.




Record keeping


We maintain confidential records of all complaints and their outcomes to ensure accountability and track repeat behaviour, while complying with privacy regulations.
